Production Coordinator

PDX Pop Now! is currently accepting resumes and letters of interest for the 2024-2025 season. Those candidates who are selected will have an amazing opportunity to shadow under the current Board or Coordinator, volunteer for their community, and get hands-on training and mentorship as they guide the organization through the 2024-2025 season.

Please note, all positions are ALL volunteer, as is the festival, which is one of the only all-volunteer run music festivals in the nation!

Production Coordinator

The primary responsibility of this position is all logistical aspects of running the festival. This includes coordinating arrangements for the festival, obtaining city and public permits as needed, and coordinating with vendors for stage, sound, lights, security, bike rack, recycling, and sanitation services.

Position Responsibilities:

  • Coordinate with festival venue owners
  • Ensure all city and public permits are correctly filed and received prior to the festival
  • Negotiate contracts and hire vendors to provide stage, sound, lights, security, sanitation, bike rack, and recycling services for the festival
  • Work with the Artistic Director to communicate with festival performers and ensure appropriate detail is provided on set times, and load-in/out procedures
  • Keep performers and performances on schedule at the festival
  • Be available at the festival to troubleshoot and problem solve as necessary
  • Produce and manage the festival budget
  • Work with the Finance Director to ensure all vendors are paid promptly
  • Work with the Beer Garden Coordinator, Green Room Coordinator and Street Fair Coordinator (when applicable) to create the site plan and execute festival logistics
  • Attend monthly team meetings, during production and festival season
  • Half year minimum commitment (through September 2024)

Position Qualification:

  • Passionate about local music and dedicated to PDX Pop Now!’s mission
  • Background in event planning, producing live music or strong desire to learn
  • Broad availability during the week of the festival (September 9 to September 17, 2024)
  • Strong partnership-building skills

Development Director

PDX Pop Now! is accepting applications for our Development Director position. The Development Director works with a team of highly-dedicated volunteers to carry forward the organization’s mission of stimulating and expanding participation in Portland music. The Development Director primary responsibility is to raise money to support the organization’s programs and services and to oversee a team of talented development coordinators.
When the position is filled, the new Development Director will work closely with the outgoing Development Director, who will mentor the incoming DD until they are comfortable doing the job alone.

Position Responsibilities:

  • Create and implement a development plan that solicits donors and identifies funding sources such as grants, in-kind donations, charitable events and sponsorship
    opportunities.
  • Recruit and train new team members, as needed
  • Assist other departments during the year and helps staff the PDX Pop Now! summer music festival
  • Sets fundraising goals and determines overall strategy for Willamette Week’s Give!Guide campaign, which includes
    assigning appropriate tasks to fundraising coordinators
  • Attends bi-monthly meetings (typically takes place on Monday evenings)
  • One-year minimum commitment (Board members preferably commit to their positions for two-year terms)

Position Qualification:

  • Passionate about local music and dedicated to PDX Pop Now!’s mission
  • 1-3 years of development experience with a strong understanding of at least two of the following areas: grant writing, fundraising and/or sponsorships
  • Experience working with volunteers
  • Strong partnership-building skills
